Student Financial Services Office Manager

Position Summary

The Student Financial Services Office Manager plays a vital role in supporting the daily operations of the Student Financial Services (SFS) department, ensuring professional, accurate, and student-focused service delivery.

Position Responsibilities

  • Train, schedule, and supervise interns and work-study students; provide mentorship and ensure quality performance.
  • Manage daily operations of the front office, including workflow coordination, calendar schedules, and process improvement initiatives.
  • Serve as the department's CRM Coordinator
  • Monitor incoming inquiries, manage communications, maintain accurate records, and prepare routine reports.
  • Handle complex or escalated student inquiries with professionalism, empathy, and accuracy.
  • Coordinate the department's calendars, schedule appointments and meetings, and assist in planning events and outreach activities.
  • Collaborate with other SFS team members and campus departments to ensure seamless service across financial aid and student accounts.
  • Support internal communications and assist in preparing departmental documentation, procedures, and communication templates.
  • Oversee office supply management
  • Track inventory, prepare purchase requests, and maintain vendor relationships.
  • Ensure organization, sanitation, and professionalism of the office environment.
  • Maintain compliance with FERPA, institutional policies, and all applicable federal and state regulations.
  • Set objectives and accomplishes them without the need for frequent follow-up.
  • Perform other duties as assigned.

Essential Skills and Experience

  • Excellent verbal and written communication skills with strong customer service orientation.
  • Ability to manage multiple tasks, prioritize effectively, and work in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software systems.
  • Strong organizational skills and attention to detail.
  • Ability to work both independently and collaboratively with a diverse team.
  • Demonstrated professionalism, discretion, and reliability in handling confidential information.
  • Expressed commitment to student service excellence and problem resolution.
  • Ability to receive constructive feedback.

Preferred Skills and Experience

  • 1–2 years of administrative, student services, or office management experience.
  • Experience developing staff schedules, training materials, or process documentation.
  • Experience in higher education, student accounts, or financial aid settings.
  • Familiarity with CRM platforms (such as Slate) and student information systems.

Education

Bachelor's degree preferred.
