Human Resources Administrative Specialist

Position Summary

The Human Resources Administrative Specialist is a full-time position that reports to the Director of Human Resources. This position performs critical human resource functions to further the mission and objectives of the University, supports faculty, staff and students, and ensures compliance with federal and state laws.

Position Responsibilities

  • Processes employment verifications
  • Provides administrative support for the HR department.
  • Assists with preparation and sending of personnel action forms and faculty contracts
  • Coordinates annual open enrollment and other employee events
  • Maintains applicant files submitted through jobs@jbu.edu and completes background checks.
  • Tracks and maintains renewal of background checks and outside employment disclosures for existing employees
  • Coordinates position postings both internally and externally.
  • Provides timely responses to askhr@jbu.edu assisting with employee questions and issues.
  • Maintains attendance records and communication for critical training and evaluation needs including but not limited to new hire orientation, title IX training, and performance evaluations.
  • Maintains records of employee participation for wellness incentive, sends reminders to employees.
  • Assists with organization of data and payroll questions related to the annual audit of the health plan and the 403(b)-retirement plan.
  • Communication pieces with the Weekly Beat and other communications platforms, including AskHR and Eaglenet.
  • Reconciles insurance census with payroll records.
  • Tracks and maintains the annual catastrophic leave donations.
  • Inputs data, tracks timecards, files, and processes portions of payroll for all pay cycles.
  • Serves as an in-person representative for employee onboarding, offboarding, benefits overview, requests, and questions.
  • Completes data entry and filing for employee personnel and benefit records.
  • Submits new hire reporting to the state of Arkansas and reports monthly employee totals to the Department of Labor.
  • Assists with W-2 and 1095-C processes.
  • Other duties as assigned.

Essential/Preferred skills and experience

  • Proficient in Microsoft Office Suite and, and has capacity to learn a variety of business software applications
  • Prior experience with human resources is preferred but not required.
  • Bilingual in English and Spanish is preferred but not required

Education

Bachelor's degree preferred but not required.

Physical demands and work environment

Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment: The noise level in the work environment is usually minimal.
