Position Summary

The Honors Scholars Program (HSP) at John Brown University is seeking an Administrative Assistant. This position is responsible for variety of administrative tasks, as well as needed support functions in connection with the academic core curriculum and HSP. The ideal candidate provides organization, effective communication, and multitasking, is detail-oriented, and is a team player. This is a part-time staff position (25 hours/week and 40 weeks/year).

The HSP exists to attract and retain intellectually curious students, to stimulate and challenge those students as Christian scholars and effective members of God's kingdom, and to enrich the broader university community. Currently there are approximately 225 students in the program.

Position Responsibilities:

  • Represents HSP in contact with on- and off-campus individuals, offices, and organizations, including students, administration, prospective students, alumni, employers, and others.
  • Provides general clerical support for Honors Director, Associate Director, and Program Coordinator/Advisor.
  • Sets objectives and accomplishes them without frequent follow up.
  • Serves as "front" person in initial contacts with Honors Scholars and parents.
  • Develops and maintains membership record systems for Honors Scholars (Honors Database, Access, Excel, Microsoft Word, email distribution list).
  • Helps coordinate Honors events, such as scholarly presentations, promotion, and field trips, and disseminates information to entire campus.
  • Maintains records of Honors expenditures.
  • Takes minutes for Honors Scholars Committee meetings.
  • Investigates and arranges travel plans and other related support for Honors Scholars and the Director of Honors.
  • Maintains Honors website, newsletter, and social media.
  • Maintains and stocks Honors supplies.
  • Processes pay for faculty who supervise Co-Teaching, Contract, and Capstone courses.
  • Works with Admissions to schedule visit days and events like Scholarship Weekend.
  • Provides work for Honors Executive Council students carrying out Honors practicum hours.
  • Other duties as assigned.

Essential skills and experience:

  • Two or more years' limited supervision office experience; two years' "people" experience.
  • Commitment to working with a diverse population of students.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in using various computer software and databases.
  • Experience in higher education or a related field is preferred.

Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment: The noise level in the work environment is minimal.
