Administrative Assistant to the Executive Vice President

Position Summary

Provides administrative support to the Executive Vice President in a variety of administrative tasks. Exercises judgment, confidentiality and discretion. Is detail-oriented, accurate, efficient and analytical in work tasks, while valuing people and functioning as a team player. This is a full-time position.

Role qualifications:

Position Responsibilities:

  • Serves as primary communications link for Executive Vice President by handling incoming and outgoing telephone calls, office visitors, and incoming and outgoing mail.
  • Coordinates Executive Vice President's schedule, maintaining a calendar of appointments and activities and ensuring that appropriate agendas, reports and other presentations are completed on a timely basis.
  • Plans and manages all meeting and travel arrangements for the Executive Vice President, as well as special office events.
  • Prepares correspondence, reports, minutes and presentations as requested.
  • Initiates, organizes, and maintains files as needed for the efficient functioning of the office.
  • Other duties as assigned.

Essential skills and experience:

  • Excellent communication skills, both written and spoken.
  • Proficient with Microsoft Office applications.
  • Administrative experience with evidence of increasing responsibilities and initiative.

Preferred skills and experience:

  • Experience using artificial intelligence to enhance efficiency of workflow and excellence of work product

Education:

Bachelor's degree preferred or comparable level of skills and experience.

Physical demands and work environment

Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment: The noise level in the work environment is usually minimal.
