Administrative Assistant for Student Engagement and Career Development

Position Summary
Provides administrative, receptionist, and operational support for Student Development with direct assistance to the offices of Student Engagement and Career Development. Manages key student-facing processes, supports student clubs and activities, contributes to Career Development Center projects and communications, and assists with purchasing and reconciliations. This is a full-time position (hourly compensation, 35-40 hours per week aligned to the academic calendar with prep work prior to student arrival in August and occasional evenings/weekends for special events (33 weeks per year).

Position Responsibilities
General Student Development Support (average of 6 hours per week)
- Serves as receptionist for Student Engagement and Career Development offices; greets and directs visitors, answers phones.
- Provides secondary support to the Student Development office and administrative assistant as needed.
- Handles inquiries and records with professionalism and confidentiality.
- Manages calendars, communications, and forms including University calendar updates, EagleNet content, shared inbox monitoring, and form review for compliance.
- Cross trains with other Student Development Administrative Assistants.
Student Engagement Support (average of 17 per week)
- Administers finance and purchasing for Student Activities, Student Leadership, clubs, and SGA including visa card checkout, transaction reconciliation, expense reports, vendor payments, and budget tracking.
- Supports club leadership, facilitates club interested meetings, tracks annual requirements, and maintains core documents; supports annual club training and Funding Board.
- Manages the Servant's Heart Food Pantry with oversight of operations.
- Provides guidance and administrative support for the Student Government Association.
Career Development Center (CDC) Support (average of 17 hours per week)
- Manage appointment flow and walk-in support.
- Performs project-based work across various platforms (including AI tools); proofreads student worker deliverables.
- Manages digital signage, online resources, Handshake newsletters, and analytics/reporting (i.e. First Destination Survey follow-up).
- Supervises career fair logistics and attend events; supports employer visits.
- Conducts basic-level resumes and job search appointments.
- Processes timecard approvals, transactions, and receipts.
Essential Skills and Experience
- Proficient with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Forms, Teams, SharePoint) and general office technology.
- Able to navigate the internet to research and find answers quickly.
- Calendar management for individuals/teams through Outlook.
- Basic bookkeeping software skills; expense report preparation; accurate administrative recordkeeping.
- Strong written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Time management and prioritization skills. Ability to multitask and work proactively with minimal follow-up.
- Service-oriented; able to create goodwill with students, staff, and faculty.
Preferred Skills and Experience
- Customer service experience.
- Office experience or higher education administrative experience.
Education
High school graduate. Courses in office skills are preferred.
Physical demands and work environment
Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Work environment: The noise level in the work environment is usually minimal.
