Administrative Assistant for Student Engagement

Position Summary

Provides administrative, receptionist, and operational support for Student Development with direct assistance to the office of Student Engagement. Manages key student-facing processes, supports student clubs and activities, and assists with purchasing and reconciliations. This is a part-time position (hourly compensation, 20 hours per week aligned to the academic calendar with prep work prior to student arrival in August and occasional evenings/weekends for special events (33 weeks per year).

Position Responsibilities

General Student Development Support (average of 5 hours per week)

  • Serves as receptionist for the Student Development office, greets and directs visitors, answers phones.
  • Handles inquiries and records with professionalism and confidentiality.
  • Maintains calendars, communications, and forms including the student events portion of the University Calendar, edit and creates content for Eaglenet pages, maintains and responds to shared inboxes, and approves posters requests.
  • Cross trains with other Student Development Administrative Assistants.

Student Engagement Support (average of 15 per week)

  • Administers finance and purchasing for various groups including Student Activities, Student Leadership, clubs, and SGA including visa card checkout, transaction reconciliation, expense reports, vendor payments, Touchnet, and budget tracking.
  • Provides leadership in the coordination of club administrative processes and timelines, ensuring alignment across leadership and continuity of operations. Including supporting club leadership, facilitating club interested meetings, tracking annual requirements, and maintaining core documents; supports annual club training and Funding Board.
  • Provides administrative support for student leadership and leadership programming.
  • Tracks student programming and engagement activities, including data entry and maintains records related to campus events.
  • Manages the Servant's Heart Food Pantry with oversight of operations.

Essential Skills and Experience

  • Proficient with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Forms, Teams, SharePoint) and general office technology.
  • Able to navigate the internet to research and find answers quickly.
  • Calendar management for individuals/teams through Outlook.
  • Basic bookkeeping software skills; expense report preparation; accurate administrative recordkeeping.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Time management and prioritization skills. Ability to multitask and work proactively with minimal follow-up.
  • Service-oriented; able to create goodwill with students, staff, and faculty.

Preferred Skills and Experience

  • Customer service experience.
  • Office experience or higher education administrative experience.

Education

High school graduate. Courses in office skills are preferred.

Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment: The noise level in the work environment is usually minimal.
