Administrative Assistant for Student Development

Position Summary

Responsible for general support of Student Development staff. Provides organization, effective communication, and multitasking; is detail-oriented and a team player.

Position Responsibilities – Vice President for Student Development

  • Maintains calendars/schedules for the Vice President for Student Development.
  • Performs clerical duties for Student Development staff, including answering phones, typing correspondence, and acting as a receptionist for Student Development.
  • Reconciles monthly VISA statement and maintains proper receipting and records.
  • Revises the JBU Student Handbook annually.
  • Purchases office supplies.
  • Inputs payment requests to vendors for Student Development.
  • Requests and collects reports for the Board of Trustees meetings.
  • Attends and provides minutes for the Student Development Committee of the Board of Trustees meetings.
  • Hosts and plans meetings and retreats for Student Development staff.
  • Maintains annual meeting calendar for staff; assists with agenda development
  • Provides logistical support for candidates interviewing for Student Development job openings.
  • Update website and EagleNet as needed.
  • Assists other staff members as needed.
  • Serves on campus committees, as requested.
  • Other duties as assigned.

Position responsibilities – Dean of Residence Life

  • Maintains calendar/schedules for the Dean of Residence Life
  • Performs clerical duties for the Dean of Residence life, including answering phones, monitoring the Residence Life email account; typing, filing, storing disciplinary communications; providing references; and acting as receptionist for Residence Life
  • Utilizes Colleague software to input housing and meal plan assignments.
  • Assist with the housing process including communicating with Admissions, students and staff.
  • Collect list of early arriving students from multiple areas on campus and obtain room keys for these individuals from Resident Directors.
  • Manage the off-campus application process; maintain off campus contact information for commuters; ensures all required students sign the Community Covenant annually.
  • Manages JBU student housing rental property. Shows rental property to prospective tenants; fills vacancies; collects and maintains lease agreements; communicates with Facility Services regarding maintenance, custodial needs and repairs; communicates with utility companies; manages rent charges and communicates with Student Finance office.
  • Works with the Office of Christian Formation in assisting with scheduling meetings regarding Chapel deficiencies.
  • Assists RDs as needed and requested.

Essential Skills and Experience

  • Two or more years of office experience.
  • Proficient with Microsoft Office Suite
  • Good communication skills, both verbal and written.

Education:

  • Bachelor’s Degree Preferred

Physical demands and work environment

  • Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work environment: The noise level in the work environment is usually minimal.
