Position summary

Part-time position (12 hours/week) providing clerical and operational support for the Student Counseling Center.

Position responsibilities 

  • Maintains privacy and confidentiality of student appointments and records.
  • Sets objectives and accomplishes them without need for frequent follow-up.
  • Serves as a liaison between staff and students, notifying students of various requirements, initial appointments, and changes in meeting schedules.
  • Maintains all databases (e.g., Titanium) and calendars, including licensure/CEU requirements and deadlines.
  • Prepares documents (letters, memos, reports, syllabi) and performs routine tasks (copying, messages, phones).
  • Represents office in contact with on- and off-campus individuals, offices, and organizations, including students, administration, prospective students, parents, alumni, and others.
  • Prepares and updates documents and reports (Monthly Census Report, Annual Report, special reports).
  • Requisitions materials and supplies.
  • Investigates and arranges travel plans, including airline tickets, hotel reservations, rental cars, and other related support.
  • Administratively supervises graduate interns.
  • Supervises student work-study staff.
  • Manages outcome assessment instruments.
  • Provides general clerical support for department.
  • Other duties as assigned.

Essential skills and experience 

  • Two or more years of general office experience.
  • Working knowledge of office productivity software and computer hardware.
  • Professional document preparation; writing and proofreading; filing; supervision of student staff.

Education

Associate’s degree in business or administrative field preferred.

Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear.  The employee must occasionally lift and/or move up to 15 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment: The noise level in the work environment is usually minimal.
