Administrative Assistant for Music & Theatre

Position Summary
Responsible for providing clerical and operating support for the department and the department chair, including financial tracking, processing, and reporting, class and event scheduling and support, institutional reporting, data collection, and filing, and student worker supervision. This is a part-time position (hourly compensation), approximately 20 hours per week during the academic year (August 1-May 31).

Position Responsibilities
- Provides consistent presence and support for department faculty, staff, and students
- Assists in budget management, including processing invoices, tracking expenses, and reporting
- Plans all departmental travel and off-site events, including choir retreats and tours in collaboration with the Director of Choral Activities
- Oversees all class and event scheduling
- Provides event support in collaboration with the Events Coordinator
- Assists in recruitment efforts, including scheduling of prospective student auditions
- Provides clerical support for the department, including drafting curricular proposals, collecting data for annual reports and program reviews, managing current and prospective student materials, and leading departmental communication
- Supervises 3-4 graphic design student workers
Required Skills and Experience
- At least two years general office experience with significant interpersonal interaction
- Proficiency in Microsoft Word, Excel, and Outlook
- Experience with budget management and data collection and reporting
Preferred Skills and Experience
- Experience in higher education administrative support
- Experience mentoring and training students
- Experience and/or interest in the fields of music and theatre
Education
High school graduate. Associate's or Bachelor's degree preferred.

Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Work environment: The noise level in the work environment is usually minimal.
