Position Summary

Responsible for providing general clerical and operating support to faculty as directed by the Chair and the college Dean. Provides organization, effective communication, and multitasking; is detail-oriented and a team player. This is a part-time position during the academic year.

Position Responsibilities

  • Provides general clerical support for the department, including part-time faculty, preparing documents (emails, reports) and performing routine tasks (copying, messages, phones).
  • Requisitions for materials and supplies.
  • Assists with catalog changes through Curriculog.
  • Maintains program four-year student plans and graduation checklists.
  • Maintains department, college, and program budgets; requests checks, makes deposits, collects receipts, and handles monthly reconciling of Visa reports (college, department, and Gateway).
  • Assists with revisions to the department website.
  • Arranges travel plans, including airline tickets, hotel reservations, rental cars, and other related support for department faculty.
  • Provides support for planning all events, including academic conferences on campus, in coordination with the Events office.
  • Provides administrative support within the department of Humanities, to the Dean of the college of BHA, and to the director of Gateway (e.g., scheduling meetings and events, finance/budget, etc.).
  • Assists in supervising student work-study staff to pick up or deliver mail, set up Campus Fairs, design Eaglenet ads, keep copiers full of paper, etc. Assists students with shopping and setup for events.
  • Maintains department and some college documents, including professional activities and outcomes assessment; frequently updates lists of students by majors and email contact lists. Records class scheduling online and submits adjunct forms.
  • Keeps track of professional development spending and presents reports to faculty and the department head.
  • Other duties as assigned.

Essential Skills and Experience

  • Ability to work with office productivity software, such as Microsoft Word and Excel.
  • Experience with filing, professional document preparation, writing, and proofreading.
  • Excellent communication and interpersonal skills.
  • Represents the department in contact with on- and off-campus individuals, offices, and organizations, including students, administration, prospective students, alumni, employers, and others.

Preferred Skills and Experience

  • Two or more years of clerical work and supervising or managing office settings with significant interpersonal interaction.

Education

High school graduate. Associate degree in business or administrative field preferred.

Physical Demands and Work Environment

  • Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work environment: The noise level in the work environment is usually minimal.
