Assistant Director of Advancement Services and Gift Processing

Position summary

Priorities include assisting the Director of Advancement Services with data management in the RE NXT database and overseeing gift processing.

Position Responsibilities 

  • Assists with maintaining the Raiser’s Edge development database.
  • Support the creation, maintenance and improvement of gift systems and back-end workflows.
  • Data analysis and account reconciliation
  • Stay adept and up to date with RE NXT software
  • Maintains a familiarity of industry standards and trends (CASE, IRS, AASP)
  • Update online giving forms.
  • Utilize RE/NXT canned reports as well as the query and export functions to create custom reports/lists as needed
  • Create and run queries in the database software for special reporting.
  • Manages gift processing: data entry of all gifts, including by cash, check, credit card, gifts-in-kind, matching gifts, pledges and online transactions.
  • Manage matching gift confirmation and processing on multiple platforms.
  • Oversees accurate and timely processing and entry of all types of gifts given to JBU
  • Generate, edit and process gift acknowledgement, pledge reminder letters and other donor correspondence.
  • Coordinate monthly reconciliation and annual audit with the Business Office
  • Direct and manage procedures and documentation for gift receipting according to IRS rules and CASE standards.
  • Provide gift donation reports to advancement leadership and other departments.
  • Update and improve systems and procedures, including documentation when applicable. 

Essential Skills and Experience

  • Proficiency with the Microsoft Office suite of products
  • Technical acumen regarding online applications
  • Professional office experience in a fast-paced environment.
  • Task oriented, with ability to move multiple projects forward simultaneously, while handling interruptions.
  • Excellent communication skills, both written and spoken
  • Strong organizational, interpersonal and phone skills
  • Adept at multitasking

Preferred Skills and Experience

  • Experience in Accounting or Finance
  • Experience in CRM or donor database


Bachelor’s degree required.

Physical Demands and Work Environment

Physical demands:  While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear.  The employee must occasionally lift and/or move up to 15 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment:  The noise level in the work environment is usually minimal.
