Administrative Assistant - Visual Arts

Position summary

Administrative Assistant duties and responsibilities include providing administrative support to help ensure efficient operation of the Visual Arts Department and John Brown University’s Visual Arts Galleries efforts. The AA also provides general receptionist, clerical, operations and accounting support for the department. This includes taking part in recording the financial aspects of the department’s general budget and major grants under the direction of the Department Chair. Often the AA is responsible for confidential and time-sensitive material. This position is 40 hours per week during the academic year (August through May).

  • Ability to take initiative and make responsible, independent decisions under the supervision of the Chair of the department.
  • Ability to independently set proper priorities and work on multiple tasks; must be detail-oriented.
  • Ability to provide simple, general accounting services, inputting expenses regarding budget income with department Chair supervision.
  • Ability to manage multiple projects and tasks simultaneously; must be able to multitask.
  • Commitment to the Articles of Faith, Mission, and Objectives of the University; and functions as a role model for students by demonstrating an active Christian faith in personal example and in work-related responsibilities.

Position responsibilities 

  • Prepares a variety of reports for use by department faculty and university administration.
  • Prepare for events including art gallery shows, student recruitment events, and other department events.
  • Coordinate with enrollment division and department professors for recruitment of new students.
  • Routine office and administrative tasks including reports, documents, mail, maintenance of files, expense reports, schedules and calendars.
  • Attends and takes minutes for departmental meetings.
  • Maintains content for departmental websites and social media.
  • Communicates regularly with faculty, students, and other departments on campus via email, phone or other methods of communication.
  • Coordinates inventory and purchasing of needed supplies for the department.

Essential skills and experience 

  • Two years general office experience with significant interpersonal interaction.
  • Knowledge of office productivity software (Excel and Microsoft Word) and appropriate computer hardware, professional document preparation, writing and proofreading, and supervision of student staff.

Education

High school graduate. Associate’s degree or higher in business or administrative field preferred.

Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment: The noise level in the work environment is usually minimal.

The employee is expected to adhere to all University policies.
