Administrative Assistant - Dean of the College of Education and Human Services

Position summary

Responsible for providing administrative assistance to the Dean of the College of Education and Human Services (CEHS) and logistical assistance within the College. The CEHS houses undergraduate, graduate, and online programs in a number of disciplines.

Position Responsibilities 

  • Provides administrative assistance to the Dean of the College of Education and Human Services in his various responsibilities.
  • Provides first point of contact for visitors to the Dean’s Office.
  • Assists with organizing day-to-day responsibilities of the College and enhances efficiency of operations.
  • Assists with other special events involving the College and the dean.
  • Provides administrative support for accreditation efforts of the dean related to JBU’s HLC review.
  • Coordinates processes with the Graduate School related to faculty, curriculum and students in CEHS.
  • Assists with registration/orientation activities.
  • Prepares, maintains, and updates data in Taskstream, Slate, and similar databases.
  • Provides assistance with program reviews and annual reports.
  • Tracks credit card expenditures and records receipts for the dean and the College.
  • Records and distributes minutes at meetings.
  • Tracks professional development expenditures for faculty in the College.
  • Helps coordinate CEHS representation at university events such as majors fairs and early registration programs.
  • Provides coordination of student work-study staff within the College.
  • Assists faculty with organizing day-to-day functions of the departments and enhances efficiency of operations.
  • Provides administrative support for the departments of Family and Human Services, Psychology, Kinesiology, and Higher Education.
  • Serves as the principle point of contact for students enrolled in the M.A. in Higher Education program; communicates with HED students and provides them with logistical support.
  • Other duties as assigned.

Essential Skills and Experience 

  • Good computer skills in word processing (MS Word) and other MS Office applications.
  • Familiarity with Excel spreadsheets.
  • Three or more years clerical work and supervising or managing in office settings.

Preferred Skills and Experience 

  • Experience working within an academic setting.
  • Experience with computer database software.


  • High school graduate.  Bachelor’s degree preferred.

  • Work-study staff.

Physical Demands and Work Environment

  • Physical demands:  While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear.  The employee must occasionally lift and/or move up to 15 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work environment:  The noise level in the work environment is usually minimal.
