Administrative Assistant - Honors Scholars Program

Position summary

Responsible for variety of administrative tasks, as well as needed secretarial functions in connection with academic core curriculum and honors.  Provides organization, effective communication, and multitasking; is detail-oriented and a team player.

Position Responsibilities 

  • Represents Program in contact with on- and off-campus individuals, offices, and organizations, including students, administration, prospective students, alumni, employers, and others.
  • Provides general clerical support for Director of Honors and Honors Director of Advising and Co-Curricular Programming.
  • Sets objectives and accomplishes them without frequent follow up.
  • Serves as “front” person in initial contacts with Honors Scholars and parents.
  • Develops and maintains membership record systems for Honors Scholars (Honors Database, Access, Excel, Microsoft Word, Email distribution list).
  • Processes freshman applications for Honors Scholars Program for Honors Admissions.
  • Processes student proposals.
  • Helps coordinate Honors events, such a scholarly presentations, promotion, and field trips, and disseminates information to entire campus.
  • Maintains records of Honors and Honors Executive Council expenditures.
  • Take minutes for Honors Committee meetings.
  • Prepares routine reports for honors.
  • Investigates and arranges travel plans and other related support for the Director of Honors.
  • Maintains Honors website, newsletter, and social media.
  • Carries out Sophomore and Senior Surveys.
  • Maintains and stocks Honors supplies.
  • Other duties as assigned.

Essential Skills and Experience 

  • Two or more years’ limited supervision office experience; two years’ “people” experience.
  • Proficient in personal computer word processing and database applications.
  • Excellent command of written and spoken language.

Physical Demands and Work Environment

  • Physical demands:  While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear.  The employee must occasionally lift and/or move up to 15 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work environment:  The noise level in the work environment is usually minimal.

The employee is expected to adhere to all University policies.
