Administrative Assistant - Rogers Center

Position summary

JBU is looking for a highly organized administrative professional to support our Director of Graduate and Online Enrollment. This is a full-time role located at the John Brown University Rogers Center. This person must deliver exceptional customer service and have strong organization and communication skills. Typical hours are Monday-Friday 8am-5pm with occasional weekends.


The mission of the Administrative Assistant is twofold. First, to proactively and positively engage with prospective students who request information about enrolling at JBU. Second, to ensure that administrative tasks and projects are completed with a high degree of efficiency, accuracy, confidentiality, and positivity.


  • Qualify incoming leads and proactively follow up with recent inquiries
  • Provide outstanding customer service to all prospective students and JBU visitors (including answering the phone, greeting visitors, etc.)
  • Calendar management, email management, and meeting scheduling
  • Communicating on behalf of Director
  • Handle all incoming and outgoing mail for the Rogers Center
  • Monthly expense reporting and paying invoices
  • Coordinate and manage facility upkeep (scheduling reservations, classes, submitting facility maintenance requests, etc.)
  • Maintain database and filing systems
  • Oversee office equipment and supplies
  • Various administrative tasks such as research projects, booking appointments, and coordinating travel
  • Assist with university events as needed
  • Commit to the Articles of Faith, Mission, and Objectives of the University
  • Maintain a positive attitude and create good will with staff, faculty, and students
  • Adhere to all university policies
  • Perform other duties as assigned by supervisor

Essential Skills 

  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint
  • Self-motivation and discipline to set and achieve goals
  • Excellent written communication skills and phone/e-mail etiquette
  • Team Player: ability to build relationships/rapport with others


  • Bachelor’s degree preferred

Reporting to this position

  • No direct reports.

Physical demands and work environment

  • Physical demands: Occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work environment: The noise level in the work environment is usually minimal.
