Administrative Assistant - Academic Affairs Office

Position summary

Responsible for administrative support to the Associate Vice President for Academic Administration, a variety of administrative tasks in the Office of Academic Affairs, and general secretarial support in the office. Provides needed organization, public relations, multitasking, and is a team player.

Position Responsibilities 

  • Assists in development and implementation of procedures and programs that will enhance effectiveness and efficiency of the academic programs.
  • Schedules appointments, gives information to callers, and otherwise relieves AVP of clerical work and minor administrative and business detail.
  • Serves as a liaison between academic administration and administrative staff in academic departments.
  • Creates and manages documents relating to faculty overload and adjunct pay.
  • Maintains files of adjunct faculty and coordinates with HR to maintain files of full-time faculty.
  • Coordinates with ATLAS to manage online course revisions.
  • Submits textbook information for online undergraduate courses.
  • Helps maintain records for graduate students.
  • Prepares correspondence to students and other constituents.
  • Records minutes of Deans Council and Faculty Meeting.
  • Maintain website information.
  • Answer phone calls and be the front-facing person for the Office of Academic Affairs.
  • Coordinate on projects with the administrative assistant for the Vice President for Academic Affairs.
  • Sets goals and accomplishes them without need for frequent follow-up.
  • Other duties as assigned.

Essential Skills and Experience 

  • With Bachelor's degree, two or three years limited supervision office experience; with Associate's degree, five years office experience with evidence of increasing responsibilities and initiative.
  • Good word-processing and spreadsheet skills.
  • Good communication skills
  • Good organizational skills.

Preferred Skills and Experience

  • Experience with database management software.

Education

Some college.  Bachelor’s degree preferred.

Physical Demands and Work Environment

Physical demands:  While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear.  The employee must occasionally lift and/or move up to 15 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment:  The noise level in the work environment is usually minimal.
