Accounts Payable Payments Specialist

Position summary

Responsible for monitoring and maintaining various disbursements of University moneys.  Performs other accounting services duties as assigned; classifies and/or codes transactions to appropriate accounts; identifies discrepancies and offers alternative courses of action. Provides document processing and reconciliation; is a team player.

Position Responsibilities 

  • Prepares payments to assigned JBU accounts, including examination for proper authorization and correct accounts
  • Aids in processing requisitions for converting to purchase orders, examining them for proper vendor address, accounts, and authorization
  • Aids in preparing checks for mailing
  • Prepares payment documentation for scanning and filing
  • Reviews statements from assigned vendors for correctness
  • Corresponds, as necessary, with assigned vendors to obtain missing invoices and resolve problems with payments
  • Answers faculty and staff questions about assigned vendor payments.
  • Aids in reconciling accounts payable aging report, check register, check copies, journals, and general ledger.
  • Manages back-office functions of Touchnet Marketplace software
  • Manages electronic and physical long-term storage
  • Backup for full AP duties
  • Other duties as assigned

Essential Skills and Experience 

  • Two or more years related work in accounts payable or data entry preferred.
  • Keyboarding, knowledge of Intel-based business software, ten-key by touch preferred.
  • Understanding of dual entry accounting preferred.


High school graduate or equivalent.

Physical demands:  While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear.  The employee must occasionally lift and/or move up to 15 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work environment:  The noise level in the work environment is usually minimal.

The employee is expected to adhere to all University policies.
