Position Summary

Responsible for supporting the daily functions of the Office of Graduate & Online Undergraduate Enrollment Management. This includes serving as the initial point of contact for prospective students in the office and ensuring accurate information is communicated via direct interactions, email, phone, chat, and mail. Requires a quick learning curve with the ideal intelligence, personality, & computer savvy.

  • Must be able to interpret, communicate, and apply policies as needed to fulfill responsibilities of the position.
  • Must be an organized self-starter who is proficient with desktop and laptop computers running Windows operating system; Google Chrome or Mozilla Firefox web browsers; Microsoft Office (Word and Excel) software; and cell phone texting applications.
  • Must possess a high level of independence in accomplishing the responsibilities of the position with limited supervision

Position Responsibilities

  • Communicate accurate information to prospective students at the front desk of the office. This includes information about admissions, scholarships, application statuses, next steps for new students, and general information about all JBU programs. This position will be expected to provide a high level of customer service to all visitors to the Rogers campus.
  • Answer, process, and respond to all incoming communication received via phone, email, and mail from prospective and newly admitted students. This includes responding to emails and replying to information requests received.
  • Coordinate and schedule all usages by the public and/or building issues that need attention This includes serving as the initial point of contact to prospective students and anyone looking to use the facility for a meeting or other usage.
  • Serve as the administrative assistant to the Director of Graduate and Online Undergraduate Enrollment Management. This includes sending correspondence, processing administrative paperwork, and assisting the director with special projects and initiatives.
  • Process sensitive and confidential information. Must have a working knowledge and understanding of FERPA regulations and be able to apply the information to a wide variety of circumstances.
  • Requires both a broad overview of academic requirements, and a detailed knowledge of most administrative processes. Must be able to interpret both vague and specific questions from students, and then discern relevant information to help students in the appropriate areas. Includes a detailed knowledge of the procedures, the campus personnel who will process the student's information and the order in which it must occur.
  • Schedules exam proctoring services provided to JBU Graduate and Online Undergraduate students
  • Works with other center staff to determine and coordinate the ordering and pickup for office supplies, kitchen items, and other necessary purchases
  • Maintains accurate calendar of the use and scheduling of the facility
  • Coordinates day use and facilities rentals, including on-site hospitality and posting of directional and welcome signage
  • Coordinates facilities maintenance requests and improvements as requested by program administration
  • Maintains records of site expenditures and other fiscal data
  • Other duties as assigned by the Director of Graduate and Online Undergraduate Enrollment Management.

Essential Skills and Experience

  • Bachelor’s degree or equivalent work experience.
  • Proficient in Microsoft applications and possesses a working knowledge of spreadsheet and database applications
  • Pleasant, professional phone voice; strong ability to organize materials and prioritize enrollment needs
  • Ability to work in an environment with constant interruptions.
  • Must be service, sales and detail oriented.

  • Physical demands:  While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear.  The employee must occasionally lift and/or move up to 15 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work environment:  The noise level in the work environment is usually minimal.
